How to Manage Events and Attendees

After creating an event, administrators can handle registrations, attendance, and point awards. The Wellness360 Admin Portal offers an integrated solution to manage these event details efficiently.


1. Log in to the Admin Portal

  • Access your company’s Wellness360 Admin Portal.

  • Enter your credentials and click Login.

2. Navigate to Events

  • From the left menu, select Programs, then Events, and click List View.

  • A list of all events appears, with options to view, edit, or delete.


3. View Event Details

  • Find the event you want to manage.

  • Click the 3 dots next to it, then Preview to open the Event Details window.


  • This shows all relevant event info, including time slots, points, and participants.


  • The Organizer is the person who is conducting the event.

  • Modify: Update event details if needed.

4. Adding Attendees

  1. Open Event Details:

    • Click Preview for the event to see its detailed view.

  2. Add Participants:

    • Under Actions, for a specific slot, click the 3 dots, then Add Attendees.

    • Search/Dropdown: Manually select attendees.

    • Bulk Upload: Click here to download a template (First Name, Last Name, DOB ((M/F or Male/Female)), Gender). Fill in and Upload to confirm the registration.

    • Alternatively, Select the Attendees from the dropdown
      • Choose the individuals you wish to add.
      • Click Upload to finalize their registration for the event. You can also click on the Remove option to remove the user.
  3. Confirm Registration:

    • Newly added participants appear in Manage Attendees.

    • If a sign-up limit or waitlist is enabled and spots are full, any additional participants will be placed on the waitlist until a spot becomes available.

5. Managing Attendees

  1. View Current Attendees:

    • In the Event Details window, click Manage Attendees for the respective slot to see registered users.

  2. Remove Participants:

    • Under Actions (3 dots), select Remove next to a user. Confirm to remove them.

  3. Award Points (Check In):

    • For point-based events, click Check In for an attendee, then Check in again to award points.

  4. Update Participant Status:

    • Click Update Status to change attendance (attended, canceled, waitlisted) in bulk.

    • Download the status template, update it, and re-upload.

    • Preview and click Upload to finalize changes

6. Best Practices

  • Keep Event Info Updated: Adjust any changes (time, venue, format) and notify attendees promptly.

  • Monitor Attendance: Regularly check the attendee list and waitlist for accurate numbers.

  • Communicate Clearly: Use email notifications to keep participants informed of any updates or essential details.
