Program Relaunch

Modified on Tue, Apr 29 at 10:36 AM

Below are best practices and tips to ensure a successful re-launch of your company’s wellness program. Once you've finalized the new program’s activities and challenges, begin building the program by following the steps:

START EARLY
Initiate discussions for the upcoming program at least 90 days before the current one ends. This timeframe provides ample opportunity to finalize details especially during holiday periods or busy seasons and ensures key stakeholders are aligned for a timely, well-structured rollout.

REVIEW THE CURRENT YEAR’S ENGAGEMENT AND TRENDS
Analyze participation and completion rates from the current program. Identify popular challenges, note any declines in login activity, and pinpoint potential themes to inspire next year’s lineup. Additionally, leverage aggregate health data (e.g., biometric or health risk assessments) to inform your next phase. Some organizations also offer extra points or credits for early health assessments or biometric screenings to spread participation and secure robust early data. PLAN BIOMETRIC SCREENINGS EARLY
If on-site biometric screenings are offered, coordinate them well in advance. Ensure sign-up procedures are aligned so employees have sufficient time to participate. (Activities link)

BUDGET PLANNING (Sample reward campaign link)
Review your wellness program budget with all relevant stakeholders. Decide if the incentive structure needs tweaking and whether the current budget can support additional activities such as new challenges. This is also an ideal time to explore any new wellness initiatives to keep employees excited and engaged.

COMMUNICATE CONSISTENTLY
Provide frequent and clear communication about the transition to the new plan year. A minimum six-week heads-up for all key dates is recommended. Utilize channels like company-wide emails and announcements(Announcements link) to ensure employees are aware of changes and necessary actions. When setting up reward campaigns with point redemption, clarify point expiry dates so employees can redeem them before they expire.

By following these recommendations—planning early, analyzing engagement data, coordinating budgets, and communicating thoroughly—you’ll position the wellness program for a smooth, successful relaunch and another great year of healthier, happier employees!
