Assigning the correct access levels keeps your data secure and your workflows smooth. Follow this step‑by‑step guide to manage user roles and permissions in the Wellness360 Admin Portal.
Navigate to the User Management Section
From the left‑side menu, click User Management.
Within User Management, open the Users page.
Locate the User
A list of users (from the eligibility file) appears.
Find the user whose roles or permissions need to be modified.
Note: Only users who are already registered on the platform can have roles and permissions edited.
Initiate Role Management
In that user’s row, go to the Actions column and click the three‑dot icon.
From the pop‑up menu, select Manage Roles.
Select the Appropriate Role(s)
A pop‑up window displays the available roles:System Admin – Full control over platform‑wide settings, user management, configurations, and security.
Client Admin – Manages users and settings for a specific client organization without system‑wide access.
PHI Admin – Handles protected health information (PHI) with access to sensitive health‑related data and reports.
Wellness Champion – Focuses on user engagement and wellness programs with limited administrative access.
Reporting Admin – Generates and exports reports with analytics access but no system‑wide or user‑management permissions.
User – Selected by default; this setting cannot be changed.
Check the box next to each role you want to assign. Multiple roles can be selected as needed.
Save the Changes
Click Save to update the user’s roles and permissions.
Completion Notification
A confirmation pop‑up appears in the top‑right corner, indicating the update was successful.
